What we do

 

Since 1863, the International Committee of the Red Cross (ICRC) has worked to preserve human dignity and relieve suffering caused by war and armed violence.

In collaboration with our Red Cross and Red Crescent partners around the world, we do everything we can to deliver life-saving aid, reconnect families and locate missing people – helping those who need it most, regardless of who they are and what side of the front line they are on.

We engage with authorities and armed forces on all sides, often confidentially, pressing for access to detainees to improve their living conditions and urging compliance with international humanitarian law to protect non-combatants, including from digital threats.

 

Purpose

The Assistant & IM Officer provides (high-level) administrative support and oversees information management, under the supervision of the Executive Assistant & IM Officer. S/he acts as a reference person for information management risk mitigation activities in the delegation.

Accountabilities & functional responsibilities

Information management:

Under the supervision of the Executive Assistant IM Officer (EAIMO):

  • Practically follows up on the active monitoring of information security practices in the delegation. 
  • Development and monitoring of access policy – users have access to the information they need to perform their duties – includes group membership and access monitoring.
  • Manages and monitors collaborative spaces and databases, including access, and updates information in the reference tools.
  • Ensures transfer of information is done using the correct platforms.
  • Performs assessment on the use of non-ICRC tools in the delegation – the underlying reasons and provides institutional solutions where available.
  • Monitors the functional mailbox, distributes incoming messages to the relevant interlocutors and departments.
  • Organizes, supervises and manages the use of a range of collaborative tools (i.e. TS) and databases.
  • Updates general information in the reference tools (databases or others).
  • With certain exceptions dictated by the situation, act as access manager and possibly account manager
  • Drafts and finalizes correspondence, internal presentations, meeting minutes and other documents, shares information among users when needed.

Training and support:

  • Briefs systematically all new staff on above-mentioned subjects, trains regularly all users and ensures compliance with rules and procedures.
  • Makes sure that all staff know and apply ICRC rules regarding correspondence and ICRC protocol.
  • Keeps their knowledge and skills up to date on ICRC Information Management tools, digital solutions and institutional platforms (e-mail, information-sharing, records-management, intranet, etc.), informs users on new tools and promotes the adoption of new features and functionalities.

Field visits:

  • Assist the EAIMO and IM Coordinator with visits to the SubDelegations to check the colleagues needs, challenges and provide the necessary training.

Certifications / Education required

  • Bachelor’s degree in Business Administration, Information Management or a related field.

Professional experience required

  • A minimum of 3 years of demonstrated experience in assisting high level professionals preferably within an international organization, NGO, or multinational environment and 2 years of experience in user support, training, and capacity building.

What we offer

  • Salary Package: 2’120 – 3’095 USD/Month (As per ICRC salary scale, salary setting processes will determine fair setting in coherence with the qualifications of the applicant and the requirements of the job).
  • Transportation Allowance: 13$ per day.
  • 13th Month of salary paid in December, pro rata basis in accordance with the period worked.
  • Salary Review/Increase: annually
  • Annual Leave: 20 calendar working days of paid leave per year, pro rata basis in accordance with the period worked.
  • Health Insurance: Full insurance coverage (no co-NSSF) - 90% of premium fees under the class B covered by the ICRC; option for class upgrade is available with extra charges. Coverings include: In-Patient: including pre-existing cases / Out-Patients: Doctor Visits, Medicines, Laboratory tests, Therapeutical services (Physiotherapy, Psychotherapy sessions)
  • International Retirement Saving Plan (IRSP): a contribution valued at 11.5% of your monthly salary, these savings are paid by the end of service as a lump sum.
  • Other benefits subject to internal rules and regulations: High Cost of Living Allowance (HCLA), Schooling allowance, Eyeglasses Reimbursement, Learning and career development opportunities, Internal mobility opportunities leading to expatriate roles.

  • Location: Beirut
  • Working Schedule: Monday to Friday, from 8am to 5pm.
  • Type of contract: Fixed Term, 1 year (Renewable based on performance and need for position).
