What we do

 

The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Your role

 

The REM Executive Assistant & IM Officer manages a team of AIMOs that provides Administrative & information Management (A&IM) Services to the Resource Mobilization Division (REM). They are responsible for her team's efficient and effective planning, monitoring and delivery of the services and support REM Leadership Team for services.

Main activities & functional responsibilities

 

Support to the leadership team (LT)

  • Manages and maintains the daily schedules, appointments, and travel arrangements of the Head of Division
  • Liaises with internal staff at all levels, in particular: MMP Director office (MMP_DIR); Office of the Director General (DIR_GEN), Financial Resources Directorate (SDT_FAD), Office of the (Vice) President (A_PRES), Directorate of Operations (OPS_DIR)
  • Act as a focal point for all documents for the Head or other LT member’s signature, ensuring that ICRC format and protocol rules are respected
  • Manage LT & extended LT meetings (e.g. schedule, communicate, record, share output, …)

 

Support to the REM division

  • Manage Division-wide meetings: Division Meeting, REM Café, Town Hall (e.g. schedule, communicate, recording, sharing output, …)
  • Maintaining a regular information flow with other MMP departments (E)AIMOs
  • Support “annual appeal” and “Thank you letters” processes
  • Welcomes new staff (organization of briefings, equipment, access badges, etc.).
  • Act as the focal point for Information Management related subjects in the units and the relay of the IM policies/guidelines/directives.

 

AIMO Team management

  • Manage the REM AIMO team
  • Monitors workload through AIMO shared mailbox and introduces measures in due time to avoid overtime and burnout (distribution of tasks)
  • Ensures that requests received through the mailbox are taken care of in due timeframe (24h/48h/72h) depending on the importance

Relationships

 

  • Internally, interacts with key users, third-level support, business analysts and staff in the GSS
  • Externally, interacts with consultants when needed, in accordance with the service-level agreements (SLAs)

Education and experience required

 

  • Minimum 5 years’ experience providing executive support in an international organization
  • Experience managing/coordinating a team
  • Experience in project management and follow-up
  • Advanced computer skills in Microsoft Office suite (especially World and PowerPoint) and SharePoint
