Premises Assistant
What we do
The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Purpose
The Premises Assistant provides complex secretarial and/or administrative support. Responsible for specific files under supervision of Premises Manager and Administrator (Premises Secretarial work, Supervising of the Housekeepers).
Reports to (role)

Accountabilities & functional responsibilities
- Manages secretarial work, ensures efficient information flow, and performs general administrative tasks for the premises department.
- Takes initiative on recurring tasks and proactively proposes and implements new ideas to enhance premises services.
- Establishes and analyzes statistics and participates in negotiations with external parties, like landlords.
- Supervises the housekeeping team, including housekeepers and cleaning staff, at the delegation and residences to ensure cleanliness and proper stock management.
- Oversees cafeteria operations, which includes record-keeping, menu adjustments, and managing invoices and payments.
- Prepares, renews, and follows up on lease agreements and rent payments for all premises in accordance with legal and organizational procedures.
- Manages and updates all premises inventories, including furniture, household items, and items belonging to landlords.
- Handles supply requests and purchase orders for premises, coordinating with the logistics department and tracking deliveries.
- Receives and tracks maintenance requests, provides daily updates to requesters, and communicates with the maintenance unit to ensure timely resolution.
- Supports the recruitment of new domestic staff and helps manage their work rosters and appraisals when required.
- Follows up on contracts and payments for premises-related service companies like garbage collection and water suppliers.
- Manages access control, including keys and badges, and translates documents and meetings related to premises
Desired profile and skills
- Strongly motivated by humanitarian work
- Able to work under pressure in a potentially dangerous environment
Certifications / Education required
- University degree or advanced technical certificate or equivalent.
- Fluent command of English
- Computer proficiency.
Professional experience required
- 2 years' experience in the same field of activity.
