What we do

Purpose
The Deputy Logistics Coordinator supports oversee all logistics activities within Colombia and regional Peru. She/he ensures that logistics systems are in place and provides technical and operational support in accordance with ICRC logistics standards. She supports the Logistic Coordinator planning and implementing procedures and rules across all Colombia, ensuring effective use of resources in the country. Serves as link between logistics staff in the field and the ones in Bogota.
General Accountabilities
- Being the pillar and focal point of logistics in Bogotá.
- Be aware of the activities of the ICRC at the national level to provide efficient support.
- Direct manager of Impex, warehouse/dispatch and SCA officers.
- In charge of the Logistics Department in the absence of the Logistics Coordinator.
- Oversee logistical and financial procedures.
- Responsible for maintaining an efficient supply chain within the country and adapting infrastructure and assets to meet needs.
- Maintains and ensures proper use of general and specialized logistics IT tools, including monitoring the integrity of transaction data.
- Along with the Logistics and Financial Coordinator to follow up the validation matrix to report the changes to the Service Desk.
- In charge of reviewing, every 6 months, the accesses in the JDE of agreement with the request of Manila.
- Together with the Logistics Coordinator, they analyse the topics for the development of the annual logistics meeting and the elaboration of the corresponding minutes.
- Support in the selection processes, surveys and interviews of the logisticians at national level.
- Ensures that risks are mitigated through the application of the controls assigned to their role, as described in the Logistics Risk and Control Matrix.

- Prepares and consolidates all necessary data to ensure the proper functioning of the RMM process.
- Collaborate with other departments and field locations to adjust demand and supply plans in response to operational changes or unforeseen circumstances.
- Reviews, processes, and analyses all Material Requirements Planning (MRP) messages and proposes appropriate actions.
- Anticipates risks related to customer orders, proactively communicates with stakeholders, and proposes mitigation measures or alternative solutions.
- Acts as a technical focal point for the supply chain team within the assigned product category or area of responsibility.
- Maintains, updates, and disseminates operational procedures, and oversees data quality, reporting, and inventory-related analytics.
- Ensures that logistics activities and partnerships comply with institutional frameworks and applicable regulations.
- Follows up on the supply pipeline with delegations, Logistics Support Centers, and headquarters, including import and export activities.
- Plans and coordinates the activities of Warehouse and Import/Export Officers.
- Monitors inventory levels through regular reviews (e.g. every 3–4 months) to ensure stock rotation and prevent obsolescence.
- Supports the annual physical inventory process at national level and in Bogotá, ensuring data accuracy for validation and approval by the Logistics Coordinator.
- Provides operational support in import and export processes, in coordination with the specialists responsible.
- Trains staff on logistics procedures and supports the onboarding of new personnel within the Logistics Unit.
- Supports the verification and consolidation of quarterly logistics reports (e.g. RES_CTM) in coordination with the Logistics Coordinator.
- Supports the Logistics Coordinator in HR follow-up activities, including staff performance evaluations and development.
- Provides technical and operational support across procurement, warehousing, stock management, and import-export activities, ensuring compliance with institutional logistics rules and local legislation.
- Reviews supporting documentation and perform preliminary validation of supplier invoices, ensuring consistency with purchase orders and goods receipt, prior to submission to the Logistics Coordinator for approval and Finance for payment processing.
- Maintains operational coordination with suppliers, transport service providers, and other external stakeholders relevant to logistics activities.

- Externally, develops and maintains working relationships with suppliers and service providers, (lawyers office).
Certifications / Education required
- Post-graduate degree or equivalent experience.
- Good command (spoken and written) of English.
- Computer proficiency, including knowledge of specialized software.
Professional experience required
- 10 years' professional experience, of which at least four in commercial, military or humanitarian logistics.
- Experience managing a small to medium-sized team.
